About records, record types and accounts
Getting started
Before entering records onto the Grampian CareData online database, please register as an Information Provider (IP) if you have not already done so. Helpful hints and tips are provided throughout the the IP Content Management System (CMS), but you may find it easier to download the complete IP CMS User Guide, link below, to have onscreen or printed out by your side for reference. If using a printed version, please check you have the most up-to-date version (Version 1.0 at January 2007) as this will be updated regularly, although hopefully less frequently as time goes by.

Logging into your account
- Go to the Information Provider (IP) login page by following the link from the Home page or the top right of any page
- Enter your username and password and click on Login
My Records - creating new records
When you arrive at your IP account 'landing page', it will be displaying 'My Records'. There are several different kinds of record that can be entered onto Grampian CareData:
- Introductory Records - used where one organisation has several different services on different records that are linked to it
- Service Detail Records - the most usual type of record
- External Records - with only basic details on Grampian CareData but linking to full information on another web site

To enter a new record, click on Create New Record under the type of record you want to create. The record entry form will appear. For guidance in completing this form, see the help pages for the kind of record you have selected, listed below and in the left hand menu.
- Registering as an Information Provider (IP)
- Creating a new Service Detail or Introductory Record
- Creating an External Record
My Records - reviewing and editing an existing record
If you have already entered records, they will be listed under the appropriate record type. To see the record, click on View (to the left of the record name). To edit this record at any time, or if you have been asked to give it an annual review, click on Edit Record. In edit mode, you can change the information in any field - or even delete the record if it is no longer required. When deleting a record, you will be asked to give us a brief reason why for our records. For further information see the help pages below or in the left hand menu.
Please note that all records are edited (if necessary) and approved by a member of the Grampian CareData team before publication. To ensure that your records meet our guidelines (and will need little or no editing), check out the Style Guide and Style Glossary. If you have any questions, please contact us as we shall be very happy to help.
You will not be able to edit your record further whilst it is awaiting approval. We aim to keep this approval period as short as possible.
My Account
When logged into your account, you may update your IP account details (the details we use to contact you, that are not published) by selecting My Account from the blue top banner menu. Make the changes and then click on Update. You will be asked to confirm your details and Save.
